Office Management & Administration Executive

ℹ️ ABOUT THE ROLE
We’re looking for an Office Management & Administration Executive who enjoys variety, is detail – oriented, and thrives in a collaborative environment.
This is a full – time role. Availability for evening events once or twice a month is required.
This is not a secretarial role but mostly towards finance & accounts administration, so please note that we are not looking for a Confidential Secretary, Personal Assistant, or Financial Controller.
You’ll be an integral part of the team, not just managing schedules. Preference is given to candidates not currently employed by an MDBC member company.
🛠️ YOUR RESPONSIBILITIES
- Office & Administrative support across all operations;
- Maintain & Update our membership and mailing databases;
- Oversee basic accounting tasks: invoicing, payment prep, follow – up, payroll, statutory payments, bookkeeping;
- Liaise with external parties such as building management, bank, accounts service provider & external auditors, Company Secretary, telecom, vendors, etc.;
- General event support;
- Onboarding of new staff and student interns.

- A positive, adaptable team player ready to wear many hats;
- Excellent client relationship & networking skills;
- Experience in a (corporate) business environment (1 – 4 years expected);
- Strong communicator with an eye for detail and a service mindset;
- Comfortable in a fast – paced, small office environment;
- Basic accounting and accounting software experience;
- Familiar with Excel, ICT and EDP programs, statutory websites and systems;
- Fluent in English and Bahasa Malaysia (Mandarin or Cantonese is a plus);
- Malaysian citizen.

Office & Administration Student Intern
In the role of Accounting Student Intern you will be somewhat involved in the day – to – day operations within MDBC which will include primarily assisting the Office and Administrations Manager. It is important that the individual has an interest in / or is willing to learn more about Finance.

Work responsibilities – Accounts:
- Assist in accounting matters
- Follow up on payments of invoices distributed
- Ensure timely payments to vendors and suppliers are made
- Maintaining and filing of payment vouchers and incoming invoices
- Reply and process e – mail requests
- Other ad hoc responsibilities as related to end of year audit activities
Work responsibilities – Administration:
- Upkeep of MDBC membership list on file
- Upkeep and management of CRM database
- Assist in event preparations
Skills:
- Fluency in English (Written and spoken);
- Fluency in Bahasa Malaysia (Written and spoken);
- Good organizational skills;
- Self – Starter / Pro – active / Can Work Independently;
- MS Office;
- Accounting background is preferred
Please note:
- Training will be provided for those who are keen on learning;
- Finance background is preferred but not required;
- Candidates should be Malaysian citizens;
- The candidate may occasionally have to be available to work outside regular working hours for MDBC events.
